1. REHEARSALS BACK AT FOOTHILLS CONGREGATIONAL CHURCH THIS WEEK – Regular rehearsal schedule.  Thanks again to Mr. Troll for hosting last week!

2. Cantabile Summer Music Day Camp, August 11-15
Back by popular demand! Cantabile announces enrollment for our summer day camp for kids age 5-10. Led by Cantabile Preparatory instructor, Darva Campbell, activities will include music, movement, art and drama and will be held at Foothills Congregational Church. 3. Change for Music - Music for Change Fundraiser
This week is the first of our two collection times. Be sure to bring your collection can to rehearsal. Staff and volunteers will tally each singer’s amounts and keep records for final prizes for the singers and choir raising the most money. Thanks for all your support for Cantabile’s fundraising efforts! Money raised will go directly into programs. Replacement cans will be available the following week.

4. Family Surveys
Please take a moment (it only takes a few) to respond to our current survey. We need your input as we make decisions about future rehearsal structure as well as tour (for Ensemble and Vocalise only).  Thanks!

5. JOB DESCRIPTION
GENERAL MANAGER
CANTABILE YOUTH SINGERS, INC.

DATE:                March 2008
POSITION:    Full-time with periodic evening and weekend requirements and  regular representation at office location and rehearsal/event venues.
REPORTS TO:         Board of Directors
SUPERVISES:     Part-time business manager, bookkeeper, webmaster, administrative contractors and volunteers.
DATE AVAILABLE:        Immediate. Open until filled.
SALARY AND BENEFITS:     $36,000-45,000 depending on experience and skill; includes paid vacation. Position has opportunity for advancement in title and compensation dependent upon milestones met and growth in organization.

RESPONSIBILITIES AND DUTIES

Support Board of Directors and Organizational Planning

With the Board and Artistic Director, assist development and implementation of current and long-range plans.  Attend Board meetings and other committee meetings as required. Support Board recruitment and assist with new member orientation. Ensure that Board and committee meeting agendas and minutes are recorded and filed.

Administrative

Maintain the business office and all business functions of the organization. Maintain organizational documents according to legal requirements and Board policies. Ensure archives are current and storage is provided for materials, equipment, and music.

In conjuction with the Board, recruit, select, and supervise all administrative staff and contractors. Prepare and revise job descriptions and contracts as necessary. Evaluate staff performance as needed, but at least annually and in writing.  Ensure that all employer responsibilities are met and that CYS is in compliance with all local, state, and federal laws. Ensure that all personnel files and payroll records for administrative and artistic staff are properly processed and maintained.

Oversee volunteer management.

Finance

Assist Board in preparation and modifications to annual budgets.  Monitor and authorize expenditures in accordance with approved budgets.  Advise the Board on financial matters that affect the organization. Ensure accurate accounting and maintain bank accounts as directed by the Board. Prepare regular financial reports.

Management of bookkeeping needs through hands-on responsibility of activity, management of business manager/bookkeeper or a combination of the two depending on skill.

Program and Member Management

Assist the Board and Artistic Director in the development, implementation, and monitoring of CYS’s artistic activities. Provide oversight and management for all event and membership needs. Manage venues, calendars, communications and volunteer support. Maintain website for member information. Produce all member handbooks, forms, handouts, mailings. Coordinate, produce and distribute weekly member email announcements (SCOOP). Assist Artistic Director and Music Directors in the development of annual events calendar and operation plans, including rehearsal schedules, auditions, performances, workshops, camps and retreats. Negotiate and prepare contracts for all venues and artistic contrators within approved budgets. Ensure necessary equipment, licenses, and staffing for events. Manage concert setup and teardown. Coordinate member concert ticket/recordings orders and distribution and production of concert program booklets.

Serve as liaison and manage contracts, forms, and reports for Foothill College Performing Arts Alliance.

Fund Raising, Development, and External Relations

Assist Board in planning and implementation of fund development. Along with Cantabile Artistic Director, serve as CYS spokesperson. Develop organizational relationships and partnerships. Assist Board in solicitation of individual and corporate gifts, and ensure strong relationships with key donors.  Assist Board and consultants in preparation of grant applications and reports, and monitor grant expenditures. Assist Board, consultants and volunteers in production of events and initiatives. Ensure that all gifts are appropriately acknowledged. Maintain accurate and complete records of financial contributions and other support.

Marketing and Promotion

Assit the Board and Artistic Director to develop and implement organizational long-term and seasonal marketing plans. Support design and execution of  publicity and advertising initiatives. Work with Artistic Director and Publicist to ensure effective campaigns.  Oversee ticket sales and customer-service operations, including ticket printing and distribution. Oversee program book content and production. Workw ith Artistic Director to ensure effective production and distribution of collateral materials. Oversee the website and webmaster.

QUALIFICATIONS

Bachelor’s degree or equivalent; strong leadership and effective human relations skills; excellent verbal and written skills; computer literacy; organizational, financial and business management skills; flexible schedule; minimum of five years of experience in performing arts management, preferably with another youth arts organization, or comparable experience; experience working with kids and families; experience working with and supporting artistic leadership; a love of choral music and a belief in music education.

ABOUT
Founded in 1994 by Artistic Director, Signe Boyer, now under the artistic leadership of Elena Sharkova, Cantabile provides the highest quality choral music experience for young singers.  Our curriculum is designed with an emphasis on vocal training, music theory, combined choral and instrumental performance and an exceptional variety of traditional, modern, and commissioned music.
Over the past few years, Cantabile has become the youth chorus of choice for adult performing organizations in the greater bay area.  Opera San Jose, Symphony Silicon Valley, Fremont Opera and West Bay Opera, to name a few, regularly request Cantabile Youth Singers to participate in their performances.
Cantabile Youth Singers operates four graduated choir levels which serve children ages 4-18 from the Peninsula through the South Bay. Additionally, our singers participate in quarterly training workshops as well as weekend and weeklong retreats. Workshops and retreats include vocal training, movement and dance, diction and language coaching, training in theory, music reading skills, interpretation, deportment and history.  All workshops are led by staff and guest artists.
In addition to presenting annual winter and spring concerts, Cantabile singers perform throughout the community and tour nationally and internationally.
Cantabile is a proud member of the Foothill College Performing Arts Alliance
Cantabile Youth Singers, formerly under the 501c3 of Cantabile Choral Guild, is in transition phase to acquire and set up independent non-profit status. Oversight is currently being led by the Youth Steering Committee comprised of members from Cantabile Choral Guild Board of Directors and youth volunteers. In June 2008, Cantabile will launch new organizational structure, branding, and dedicated youth Board of Directors.

Concert Manager (working with Stage and Program Manager)

  • Manages dress rehearsal and concert by working with set-up crew, head chaperone and program manager to plan and to ensure the smooth running of events.  Needs to be present at dress rehearsal as well.

Stage Manager

  • Oversees stage crew with moving risers, chairs, instruments, etc. as needed by the conductor.  Also helps with lights if needed.  Needs to attend dress rehearsal.

House Manager

  • Oversees front house (ushers, audience flow, ticket takers); communicates with conductor and Concert Manager when to begin first and second part of the performance, takes audience head count.

Parent Chaperone/Backstage Parent

  • Responsible for taking care of the choristers and maintaining proper concert focus on the part of the choristers, during dress rehearsal, concert or at workshops. Please note:  You will not miss any of the concert!

Concert Technical Crew (4 needed)

  • Responsible for setting up and taking down risers, lighting, microphones and any other equipment needed for dress rehearsal and concert.  Please note:  Karen will not be able to drive the riser van this spring.  We need a parent who can assist with picking up risers which are stored in our Cantabile van in Palo Alto.
  • Arrive half an hour before call time and stay after concert until all equipment is put away.

Ushers (5-6 needed)

  • Arrive 45 minutes before start of concert in order to distribute programs, and assist with seating
  • Assist with guarding extra entrances, if needed
  • Keep track of ticket stubs and get to office after concert

Ticket Sales (3 needed)

Arrive one hour before concert and assist with ticket sales.  Office provides cash box and materials.

Boutique Sales (3 needed)

  • Arrive 1 hour before concert to assist with set-up of boutique.
  • Assist with sales before and after concert, during intermissions, and help with take-down of boutique. (again, office provides materials and cash box)

Photographer

  • Attend concert and take photos during performance.

1. Wednesday, March 19th – Rehearsal will be in an alternate location at Pinewood School, Middle Campus, 327 Fremont Ave, Los Altos.

ROOM: Theater (this building is toward the south side of campus, as you are facing the school.) Adults will be there to assist singers in finding the Theater.

DIRECTIONS: From Foothills Congregational Church, head south on Foothill Expressway (towards El Monte) Turn left onto El Monte Rd. Turn right onto Covington. (Covington turns into Fremont Ave) Pinewood School will be on your left side. The sign is small – be looking for a large white building – it looks like a house! Parking is limited, so please plan to drop off or carpool if possible.

Please note:
Last spring we had a problem with students playing on the playground equipment at Pinewood. The school is respectfully asking us to keep our Cantabile kids off the equipment due to liability issues. We thank you for your cooperation, and appreciate Mr. Troll allowing us to use the facility for this week.

After speaking with several parents, I (Elena) found out that not everyone is clear on our concert dates this spring, Here is a short reminder (straight off our web site calendar) –

  • May 17th, Saturday – Guest Appearance at Intermediate/Prep Spring Concert (St. Mark’s, Palo Alto) 4 pm Performance, 2 pm (or 2:30) – warm up call
  • June 14th, Saturday – Ensemble/Vocalise 2008 Spring Concert (Le Petit Trianon, San Jose) 7:30 Performance, 5 pm (or 5:30) – call time.

1. Thanks to all families for bringing delicious potluck food and drinks. Special gratitude to the wonderful parents help with potluck set up and clean up, and to Sonja and Olin Palmer for their help in organizing this annual event. A great chance to Intermediate and Vocalise/Ensemble choirs to meet each other and to work together in preparation for the Spring Concert!

We are in need of parent volunteers to help with set up at 11:30 am, and clean up at 12:45 pm for this event – please contact Karen@cantabile.org if you can assist. (as of 3/1 we have one parent helping with set up, and no one to assist with cleanup) Thank you!

Food Assignments: Please bring one dish to share, and enough to feed around 10 people. Cantabile will provide paper products.
